Have you ever wanted to provided more information about an item, other than just the description field? How about adding a note to a customer about the item, or to a vendor about your item?

With Business Central, we can automatically add 'extended text' to a sales or purchase document when selecting a specific inventory item.

A few settings need to be in place - from the item card, search for 'extended text'

Once you are in extended text, add as many lines as you would like - the field length is limited so it can fit appropriately on the documents when they print but you can add multiple lines.

Notice that you can even have a start and end date - so maybe you would add messages for holidays, or sales, etc. If you leave these blank, it will always add the text when triggered.

Toward the bottom of this window, you can select which documents get the text - for example, you might have specific extended text on the purchase documents but a different text, or maybe no text, on the sales documents.

There are two ways to trigger the test - 1, is automatically. This is a setting that must be set on the item maintenance card. When checked/turned on, the text will be automatically added to the document if the document is set on the extended text window.

In our example, we are going to automatically add this - so when I select my item on the purchasing document, the text gets added for me! HOW COOL IS THAT!?!?

Lastly... as you would have hoped, this test also shows on the actual document that the system creates!

What if you don't want it automatically? Or Every time? No problem! Simply leave the checkbox unchecked on the item card... and when you want to add extended text for a particular line item, click the line menu, then choose insert ext. text from the dropdown ribbon! PERFECT!!
